Round Up Weekend Schedule

Saturday

12pm Tables/Hay/Decorations arrive .

-set up tables and chairs (long rectangle tables in back, coffee/water --stations, etc.)

- AV Crew arrives to set everything up ahead of time!

-pledge packets, table numbers and table programs prepped

-take pics then take down posters/ put up RU signs, posters and vinyl cowboys

-set up as much as possible (props included)

-bring in Western back drop ,

-set up tables for registration

-set up 3 bussing stations

3pm Done until Sunday

Kids doing cardboard testimonies arrive (Steve and Kristi prep them)

Leaders and Kids arrive and are prepped to help serve

Cafe Pacific arrives and is prepped for flow and evening by Amanda. Have thank you ready for them.

Kids are prepped by Jessica, Kaitlyn, Kristi and Amy Hatcher on conduct and how to serve (table chart, who's serving and who's bussing, etc.) Walk through serving at the tables with servers, bussers and runners

Pizza arrives- Leaders set up food stations for kids. Kristi to order earlier in the day

Kids eat and t-shirts are distributed

Kids to prep water, coffee, lemonade and rolls

Extra 4-5 kids are prepped on:

Dessert prep and placement Clearing of plates

Washing dishes



5:45-6:00 Table hosts arrive

6:00 Table Host meeting -led by Kristi

6:15 Guests begin arriving/ register (Jill Davis and other)

6:20-6:55 1 leader and 5 kids outside greeting (kitchen kids)

6:20-6:55 5-6 kids serving appetizers

6:30-6:45 Kid final prep and walk though

6:45 Kids who are serving to be at their tables (rest of the kids by the kitchen ready to go)

6:55 Phil welcomes and invites guests to sit at their table

6: 5 8 Phil welcomes pastor to the stage

6:59 Pastor prays for the evening and meal

7: 00-7 :25 Meals being served
